Senior Executive Assistant

HRLife are working with one of our great clients to find them a talented, experienced Senior Executive Assistant who will be supporting one of the Managing Directors. Essential you have previous experience working as an Executive / Personal Assistant in a fast paced, commercial business in the UK.

Responsibilities of this role will include, but not be limited to:

  • Managing the time and diary of the MD to ensure their time is spent aligned to their priorities, structured in the way that allows them to perform at their best, proactively planning for and preparing them for upcoming events
  • Building relationships and undertake proactive interactions with close family members and personal appointments to ensure that their diary and travel is proactively aligned with out of work commitments
  • Proactively researching commitments around their children’s school and ensuring these are reserved in the diary and maintain dialogue with family to keep them informed of work commitments too
  • Managing key personal appointments and any associated admin appropriately
  • Maintaining strong relationships with internal and external stakeholders, often working on the MD’s behalf and supporting and enhancing interactions with others
  • Building great relationship with the MD and their closest stakeholders including arranging travel for face-to-face meetings, approx. once per fortnight between Guildford, Oxford, London, Birmingham and Reading
  • Understanding business priorities, board personalities and relationships and use these to help organise board meetings & associated small events with only light direction. Including outline agendas, briefing packs, minuting, action taking, timekeeping, logistics and venue bookings
  • Be curious and aware on behalf of the MD and use this insight to support them to understand individuals, relationships, and behaviours across the organisation
  • Proactively manage the MD’s employee benefits such as health insurance, company car and mobile phone – presenting them with clear choices in a timely manner when required and handling small issues without involvement
  • Managing their email inbox such that they are directed towards the most important or urgent matters and simple requests are dealt with without their involvement
  • Accurate and timely input into company systems and processes on their behalf such as timesheets, expenses, HR system

The ideal candidate will ideally;

  • Have 10+ years of experience as a PA and demonstrated high capability and growth through this time
  • Possess enough maturity, empathy, and emotional intelligence to successfully handle difficult and complex situations and remain agile in their role whilst maintaining an appropriate level of control and remain outwardly calm. They can consistently work under pressure and to tight deadlines with no impact on the quality of your output
  • Be curious, intelligent, and socially aware – capable of understanding personalities and environments so that they can offer support and make decisions on behalf of the MD
  • Always be proactively planning and acting
  • Have experience of complex diary management and logistics for remote based leaders
  • Experience working with multiple senior leaders in a fast-paced environment
  • Have strong IT skills – especially Outlook, Teams, Word, Excel and PowerPoint
  • Be capable of strong relationship building with all seniorities in a business
  • Seek to drive continuous improvement in their role, always looking for the ways to give time to the MD and help them to become more effective

Private sector experience with decent tenure in roles is essential.

Ideal candidate will live around the M40/M4/M3 corridor.

Salary to £60k plus benefits

Flexibility to travel to Oxford / London on average once a week
